School and Student Data Notice

1. Purpose of This Notice

ShowNotePad is a production-note service for schools, theaters, and similar organizations. It lets an authorized production team record or type rehearsal notes, transcribe audio, organize notes by scene and department, and synchronize the shared notebook across approved devices.

This notice supplements the ShowNotePad Privacy Policy and the School Data Privacy Addendum.

ShowNotePad does not support accounts for children under 13 or students whose age is unknown. Student accounts are available only for students age 13 or older. Students do not create organizations or purchase subscriptions.

2. Who Controls Student Access

An adult owner or administrator authorized by the school or organization must:

• enable student use for the production team;
• confirm that student accounts will be limited to individuals age 13 or older;
• invite each student account;
• provide notices and obtain permissions required by the school, district, applicable law, and recording practices; and
• remove student access when it is no longer authorized.

The school determines which students and staff may use its production team and controls the educational or production purpose for that use. Pro Event Tools operates ShowNotePad only for those authorized purposes and remains responsible for its own privacy and security obligations.

3. Student Information ShowNotePad May Process

Depending on how the production team uses ShowNotePad, the service may process:

• student name;
• student email address;
• production-team role and member category;
• account, session, and device identifiers;
• rehearsal notes submitted by or about team members;
• short audio recordings submitted as production notes;
• transcripts, department tags, scene references, completion status, and related note organization;
• timestamps and limited activity records needed to synchronize the shared notebook; and
• bounded security, diagnostic, and support information.

ShowNotePad does not require a student's date of birth. The authorized adult classifies an invited student as age 13 or older.

4. How Student Information Is Used

Student information is used only as reasonably necessary to:

• create and secure the school-authorized account;
• record, upload, transcribe, classify, synchronize, display, and delete production notes;
• enforce team roles and tenant isolation;
• maintain reliable shared-notebook synchronization;
• prevent abuse, investigate security events, and support the service;
• comply with authorized school requests and applicable law; and
• maintain limited audit and anti-resurrection records needed to prevent a deleted note from returning from an old or offline device.

ShowNotePad does not sell student information, use it for behavioral advertising, build advertising profiles, or use student notes, recordings, or transcripts to train public AI models.

5. Service Providers

Pro Event Tools uses service providers to operate ShowNotePad. Current service categories may include:

• Cloudflare for hosting, network security, serverless processing, database and object storage, transcription, and classification;
• Resend or another transactional email provider for invitations, account recovery, and service email;
• Apple for iPhone app distribution; and
• Stripe for owner billing and subscription management.

Payment card information is entered on Stripe-hosted pages and is not stored directly by ShowNotePad. Student rehearsal content is not sent to Stripe.

Pro Event Tools requires service providers that process student information on its behalf to use that information only for the contracted service, subject to applicable agreements and law.

6. Retention and Deletion

Current education subscriptions use these default retention periods:

• uploaded audio: up to 10 days;
• text notes and associated transcripts and tags: up to 365 days from server creation, unless an authorized user deletes them sooner; and
• bounded security events: generally up to 30 days.

When an authorized user deletes a note, ShowNotePad erases the note text, transcript, tags, completion details, submitter snapshot, and AI classification data. Attached audio becomes unavailable immediately and is scheduled for physical deletion. ShowNotePad retains only minimal non-content identifiers, timestamps, version data, and deletion state needed for security, synchronization, legal preservation where required, and prevention of stale-device restoration.

7. School Review, Correction, Export, and Deletion Requests

An authorized school owner or administrator may request help reviewing, correcting, exporting, or deleting retained production-team information by contacting [email protected].

Pro Event Tools may verify the requester's identity and authority before acting. Requests are limited to information that still exists within the applicable retention period. Pro Event Tools will not disclose another organization's data or restore information already deleted through the irreversible deletion path.

8. If Pro Event Tools Learns a User Is Under 13

ShowNotePad is not offered to children under 13. If Pro Event Tools receives actual knowledge that an account belongs to a child under 13, or that the user's age cannot be confirmed as at least 13:

1. further account access and collection will be stopped;
2. active sessions and pending invitations will be revoked;
3. the authorized organization owner will be notified when appropriate;
4. retained personal information will be deleted through the established deletion process, subject to legal preservation requirements; and
5. the account will not be relabeled as an older student to preserve access.

9. School and Family Responsibilities

The school or organization is responsible for deciding whether ShowNotePad is approved for its program and for meeting its own obligations, which may include:

• district vendor approval;
• parent and student notices;
• consent or permission required by school policy or applicable law;
• permission to record student voices or rehearsals;
• acceptable-use rules; and
• timely removal of users who should no longer have access.

This responsibility does not eliminate Pro Event Tools' obligations to limit use, secure the service, honor retention and deletion rules, and respond to valid school requests.
